Student Record Information

You may access your student record via your RISD student account. You student record includes:

• financial aid awards
• class schedules and grades
• identifying information such as your name and Social Security number (SSN)

Below you will find how to access your records, manage access privileges and, if needed, update your SSN and other personal information.

Current students can make updates to student records through Workday, our human resources, financial and student information system. If you are an alum, you can update your name and address through the alumni update form. If you need to change your name on your transcript or diploma, reach out to us at registrar@risd.edu.

Name changes

To update your legal name or set a chosen name, follow these Workday instructions. If you are updating your legal name, you will need to provide documentation of your name change (such as a marriage license or court order). Setting a chosen first name does not require documentation or approval. 

You can also record the correct pronunciation of your name in Workday. Recording your name pronunciation helps others learn how to pronounce your name correctly.

Social Security number (SSN)

Your SSN is a unique number issued by the US government in order to track your financial earnings information. In order to receive federal financial aid and/or earn an income as a RISD student employee, domestic students must add your SSN to your student record. 

While international students don’t qualify for federal financial aid, you will still need a SSN in order to work as a RISD student employee. International Student and Scholar Affairs (ISSA) can help you get a SSN. 

Add or update your SSN in Workday

Under the Family Educational Rights and Privacy Act (FERPA), most information about students is considered confidential. Except under certain circumstances, personal information may not be released to third parties including parents/guardians without your written consent. Read the full policy here.

Thus, your parent/guardian cannot view your RISD student record unless you grant them student account access. To permit a parent/guardian to view your grades or make payments on your behalf, follow the Workday instructions for accessing your student account. If you want to authorize RISD to share FERPA-protected information beyond grades and payment portal access, go to Etrieve to complete a student information release form.
